Job Title: Accounting Assistant-Accounts Payable

Department: Accounting

Reports To: Accounting Manager

FLSA Status: Non-exempt

Job Summary: This position is responsible for bookkeeping related duties.

Essential Job Duties and Responsibilities:

  • Audit expense reports and verify that all information in regards to the expense is in SAP. While auditing the expense reports send email to appropriate manager pointing out the possible expense that may be excessive or is questionable. After auditing expense reports release for manager approval.
  • Reconcile Supplier Invoices to amounts on purchase orders. Note any differences and research to see what the difference is and if appropriate managers are aware of the changes. Check the data entry of Accounting Administrative Assistant is being done correctly.
  • Within SAP monitor checks that have not cleared the bank. Verify if the payee has received the check. If the check is lost notify Accounting Manager that a stop payment is needed. When appropriate reissue the check.
  • Work with collection agency on delinquent accounts.
  • Reconciliation of expense accounts.
  • Assist Accounting Manager on special projects that may be required as the company continues to grow. This includes testing new processes within SAP.
  • Coordinate company sponsored special events such as setting the location, food planning, etc.
  • This position cross trains with the Administrative Assistant. You will be required to work at front desk if the Administrative Assistant is out of office.

Knowledge, Skills, and Abilities:

  • Knowledge of:

- company policies, procedures, products and services.

- general office practices and procedures.

- basic accounting principles.

- chart of accounts.

- modern business communications, including type and format of letters, memos, meeting minutes and reports.

- complex use of Excel, Word, general databases, Quick Books, and other accounting software.

  • Skill to:

- proofread and edit finalize written material.

- be very accurate with numbers.

- operate various office equipment such as a computer, copy machine, fax machine and multi-line telephone.

  • Ability to:

- work independently and within a team.

- promote products and services effectively.

- think analytically and be a problem solver.

- obtain and maintain a valid Montana driver s license, have a good driving record and be insured under the Company insurance policy.

- communicate effectively, both in writing and in speaking, with customers, co-workers, and various business contacts in a courteous and professional manner.

- be organized, work completely and accurately under time constraints and deadlines.

- provide excellent customer service.

- work in a safe and effective manner.

- perform with integrity and accountability at all times.

Education and Experience:

Any combination equivalent to the following education and experience that would provide the required knowledge, skills and abilities would qualify. A typical way to obtain the knowledge, skills and abilities would be:

High School Diploma or GED, entry level college accounting classes; and 1 to 3 years of bookkeeping and general office experience.

Physical and Other Requirements:

This position may require 8 to 10 hour days, flexible hours and some weekends.
