Job Role:

The Accounting Specialist is responsible for performing clerical tasks and other duties that will include assisting Accounting and Administration with daily needs. This position will be 12 to 20 hours per week.

Essential Functions & Responsibilities:

  • Assist in answering phone inquiries, greeting customers, guests and deliveries
  • Assist Accountant and CFO in handling bookkeeping and following accounting best practices
  • Fact-check invoices for payment and processing
  • Assist Payroll in preparing, fulfilling and distributing employee Payroll checks on a weekly basis
  • Coordinate with Accounting on audits, forecasts and other fiscal planning
  • Reconciling account balances; Accounts Receivable duties
  • Collection phone calls and e-mails as needed
  • Coordinate payment of credit card invoices on a monthly basis
  • Assist in maintaining a paperless Accounts Payable by scanning, attaching and entering invoices along with correctly assigning GL codes and job costs
  • Assisting Accounting Department and front office with other duties as needed
  • Other duties as assigned


  • One to three years' experience in a similar role
  • High school diploma or equivalent required; Associates Degree in Accounting or related field preferred
  • Ability to analyze financial records and transfer information
  • Data entry and word processing skills
  • Accurate and precise attention to detail
  • Excellent time management skills; ability to prioritize
  • Ability to work independently or within a team depending on the task
  • Strong aptitude for numbers, spreadsheets and financial reports
  • Demonstrates an ability to manage a variety of priorities while meeting deadlines
  • Professional demeanor and strong ethical code including handling very confidential information
