Job Role:

The Administrative Assistant is responsible for performing clerical tasks and other duties that will provide administrative support to the Executive Team and other departments as needed. Will deal with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgement is required to plan, prioritize and organize a diversified workload.

Essential Functions & Responsibilities:

  • Receptionist duties including answer the telephone, distributing mail, greeting visitors, etc.
  • Manages and maintains clothing and other company collateral ensuring supply is kept current
  • Plans and organizes both internal and external events; some on a regular basis
  • Oversee employee and customer gift programs; McGill Way, Christmas cards for customers, etc.
  • Continuously facilitate vendor logistics and relationships including cleaning services, marketing firm, etc.
  • Manage all social media on a daily basis
  • Maintains and manages the utilization of office supplies and cleaning supplies; ensures all drinks and snacks are stocked
  • Assist marketing initiatives and be the point of contact for marketing related inquiries
  • Assist Human Resources with recruiting, job fairs, new hires, filing, and other Human Resources needs
  • Maintain positive relationships with employees and the public and championing position attitude and culture


  • One to three years' experience in a related field required; three to four years' experience preferred
  • High school diploma or equivalent required; Associates degree preferred
  • Valid driver's license required
  • Accurate and precise attention to detail; strong organizational skills
  • Excellent time management skills; ability to prioritize; adaptable to interruptions and priority changes
  • Ability to work independently or within a team depending on the task
  • Demonstrates an ability to manage a variety of priorities while meeting deadlines
  • Professional demeanor and strong ethical code including handling very confidential information
  • Bilingual preferred
  • Ability to maintain exceptional attendance required
