JOB DESCRIPTION:

  • Responsible for sorting, organizing, and filing corporate documents.
  • Prepare critical corporate documents for storage and facilitate communications with external storage companies.
  • File invoices, timesheets/payroll and other records in alphabetical/numerical order or according to the department filing system
  • Find and retrieve files in response to requests from authorized users
  • Place orders via phone/fax/email with Iron Mountain for box requests or returns
  • Ensure that Pull Card is completed for files that are being loaned out
  • Transfer files (quarterly) or as needed to Iron Mountain storage
  • Create new files as needed
  • Ensure no materials in file are lost and are in proper order
  • Determine and resolve routine problems in office
  • Respond to e-mail requests in a timely manner
  • Be able to explain filing system to others
  • Clean and maintain file space
  • Miscellaneous duties as assigned
  • Switchboard coverage

QUALIFICATIONS:

  • Ability to work accurately in a high-volume processing environment
  • Intermediate experience with computers, Microsoft Office Suite (Outlook/Word/Excel)
  • Able to work independently and as a team player, be highly organized and detail-oriented
  • Individual must be able to consistently apply high standards of their work
  • Individuals must be flexible and able to deal with frequent interruptions and changing priorities
