Senior Environmental Administrative Assistant

Job Location: Brawley, California

Job Summary

This position reports to the Environmental Manager. The Senior Environmental Administrative Assistant has a wide scope of responsibilities. Duties include but are not limited to provide administrative organizational support to the environmental department, assist with the ongoing development and implementation of environmental programs, systems and legal compliance


  • Primary functions are to assist with the daily operations and office management.
  • Assist the environmental department with administrative support.
  • Compile and complete reports for Senior Management.
  • Plan meetings and take details detailed meeting minutes and file accordingly.
  • Schedule appointments and update calendar.
  • Compose and type regular correspondence.
  • Maintain document control and environmental records.
  • Provide statistical and budget reports.
  • Develop and implement office policy and procedures.
  • Prepare, file of legal documents to confirm with regulatory statues.
  • Schedules appointments and other administrative duties as assigned.
  • Prepares memorandums, outlining and explaining administrative procedures and policies to environmental department and supervisory staff.
  • Composes and types routine correspondence and prepares materials for events.
  • Schedules room reservations, meetings and records meeting minutes for internal or external meetings as necessary.
  • Assist and advise Senior Environmental Coordinator on legal compliance.
  • Manage Environmental budget, monthly costs and SAP.
  • Manage the obligation register and advise environmental staff on completing regulatory tasks
  • Other duties and projects as assigned


  • Ensures compliance with corporate environmental management systems and reporting standards.
  • Ensures compliance with all applicable environmental regulations.
  • Monitors for new regulations and changes to existing regulations
  • Manage correspondence associated with federal, state, and local environmental regulatory agencies
  • Ensures the Environmental Management System is actively managed to comply with ISO 14001 and the International Cyanide Management Code.
  • Assist with investigates environmental incidents and takes appropriate actions to maintain compliance.
  • Communicates environmental information to departmental staff, supervisors and managers.
  • Develops, implements and monitors environmental key performance indicators, strategies, policies, and programs.
  • Develop and manage systems to maintain legal compliance.
  • Handle sensitive and confidential information.
  • Manage the Environmental Budget including, outside services, closure, fees and permits, etc.
  • Provide support to the Senior Environmental Coordinator as needed


  • Maintains records such as permits, applications, reports and all legal correspondence.
  • Maintains superior relations and rapport with all regulatory agencies, minimizing any adversarial relationships and maximizing the availability of information as directed.
  • Ensures recordkeeping and reporting requirements are completed accurately and on time.
  • Assists with modification of permits as needed to conform to local, state and federal regulatory requirements.
  • Assists with coordinating activities regarding environmental compliance and programs.
  • Develop and maintain obligation register with active and obsolete permits.

Employee Development

  • Assists Senior Environmental team on employee development plans
  • Assists in identifying training needs, develops and delivers training directly or through others as directed


  • Manages departmental budget, ensuring that company resources are used wisely, especially in the use of outside services
  • Advise and assist with the coordination of internal and external audits as directed.
  • Conducts environmental compliance assessments and gap audits.
  • Maintains change management process, coordinating closely with other departments to manage changes.
  • Manages Environmental projects, as assigned by Environmental Manager.


  • Analyzes, develops and communicates environmental performance to all supervisors and managers.
  • Assists Senior Environmental Coordinator with leading all Environmental Committees

Minimum Job Requirements

  • Bachelor s Degree in Administration or Environmental related field
  • Minimum 5-10 years verifiable office experience in administrative or technical support, preferably in mining. Experience with implementing or maintaining management systems
  • Experience with interpretation of legal requirements, preferably Environmental. Excellent verbal and written communication skills. Strong organizational and time-management skills. Supervisory and leadership experience are essential
  • Excellent in Microsoft Office software, primarily Outlook, Word, Excel and PowerPoint. Hands on experience with MS Office. Knowledge of SharePoint and SAP is a plus

Skills and Abilities

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment is typical office work space with frequent visitation to inside and outside manufacturing and production facilities / areas that includes but is not limited to: hot temperatures, uneven ground, loud noise, and long-distance transit over rough terrain with moving heavy machinery and non-street legal vehicles present, e.g., forklifts, 200-ton haul trucks, front-end loaders, grader equipment, tracked and rubber-tire dozers, etc. The worksite has frequent exposure to extreme temperatures, dust and high wind conditions and occasional flash flooding. The mine site also has a daily blasting schedule that can be felt and heard throughout the property. There is a variety of desert wildlife around office buildings and throughout the mine property that may or may not be dangerous and /or poisonous or protected species. A variety of desert plant life is also abundant in and around the mine site. Business equipment such as computers, copier, fax, telephone, mobile devices (iPhone), etc. Personal protective equipment (PPE) will be required when venturing out into the production areas that includes hard hat, hearing protection, safety glasses, safety footwear and other PPE as determined to protect the individual. Use of mine radio equipment and understanding radio protocol / etiquette is required. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is frequently required to stand and walk throughout a mining property through hot, flat, sloping environments which could be hazardous in the absence of due care. The employee must occasionally lift and/or move up to 25 pounds. The employee will occasionally be required to travel in and out of state on commercial aircraft and in various automobiles. There is need to stand, walk, sit, reach and demonstrate manual dexterity, talk, hear and see.
