Job Description

The Role

We re looking for a trade administrator to ensure timely and accurate order management and data entry.

As a trade administrator, you will work as part of a dynamic and passionate team to maximize accuracy, efficiency and profitability.

By working closely with front office staff, warehouse/inventory personnel, and senior management, you will complete job requirements on time and efficiently, helping achieve the company s financial goals.

The position will be based in our office and will report directly to management of company operations.


  • Issue purchase orders as needed.
  • Track purchase orders as required from conception until posted.
  • Ensure same day receiving of all purchase orders.
  • Enter and post transfers within an hour of creation.
  • Monitor in-house stock in comparison with purchase orders to ensure stock utilization versus over purchase.
  • Coordinate with vendors as necessary to ensure purchase order usage and proper crediting for returns.
  • Pull permanent reports daily to ensure all purchase orders and transfers are closed on a timely basis. Required report include but are not limited to:
    • Incomplete inventory transactions
    • Open purchase orders
    • Parts calls
  • Follow up on parts calls to ensure no calls are unnecessarily delayed due to parts issues.
  • Locate and purchase needed parts as necessary.
  • Monitor receiver pricing to ensure accurate data entry and proper vendor pricing.
  • Maintain rapport with key vendors with a focus on streamlining the purchasing process.
  • Track warranty parts to ensure they are received by warehouse and proper credit is issued by vendors.
  • As this position may grow to include additional responsibilities, it will assume these as necessary and assigned.


  • Close all transfers within an hour of creation.
  • Post all purchase orders same day as received.
  • Error free data entry requiring minimal follow-up.
  • Zero unnecessarily delayed calls due to preventable parts issues.
  • Accuracy, thoroughness and consistent attendance are essential job functions.

Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

Ability to calculate figures and amounts such as discounts, interest, commissions, and percentages.

Knowledge of Word Processing software; Spreadsheet software and Accounting software.
